Equipping a hotel is five separate purchases: the loose furniture, the fixed joinery and fit-out, the mattresses and soft goods, the room technology, and the operating supplies. In Arabic all five are sold under one phrase, تجهيز فنادق. Alfursan in Saudi Arabia publishes a hotel-equipment catalogue running from disposable slippers to door locks and booking software; Super Sleep in Jeddah publishes itself as a mattress factory doing the same job. Which one you are buying decides what a quotation should contain.

Equipping a Hotel: Five Purchases, Five Kinds of Supplier

Send one enquiry saying you want to equip a hotel and three answers come back that cannot be laid side by side, because the three companies are in different trades. All of them are describing themselves accurately. The phrase is what is wide. This page splits it into the five packages a property is actually equipped with, says who sells each one, and sets out what each quotation has to contain before it means anything.

The five packages, and who sells each

A hotel is equipped by five different kinds of company. Most projects buy from at least three of them, and the packages meet at the room door, which is where the gaps appear if nobody has drawn the line.

One phrase, five businesses, all of them accurate

Read the first page of Arabic results for تجهيز فنادق and five companies appear, each precise about its own trade. Alfursan, in Saudi Arabia, lists under التجهيزات الفندقية: hotel slippers, single-use towels and single-use bed linen, bathroom accessories, room-fragrance devices, ADEI, JWM and INNOVATE door locks, electronic room numbers, lighting and curtain control, a hotel booking program, hotel website design, and full room furnishing. That is one catalogue holding a disposable slipper and a property management system.

Super Sleep in Jeddah, trading as شركة مصنع الريادة الفضية للصناعة, publishes itself as one of the largest factories equipping hotels and serviced apartments, with a product list of mattresses, pillows, beds, foam and compressed foam. Naseem Care is titled, in its own page title, the best store for equipping hotels and for spa and salon products, and sells hotel linen, guest amenities, small electricals and hospitality sets. PA Home reaches the same buyer from cabinet making, offering hotel wall-panel systems, upholstered or solid walls, headboard panels with integrated lighting, and door frames. ElKafoury Group in Riyadh lists manufacturing, hotel supplies, maintenance and operations, and decoration and contracting, and describes its fit-out work as selecting, supplying and installing furniture, soft furnishings, curtains, fabrics, wallpaper and decorative elements in coordination with the owner, the consultant, the interior designer and the contractor.

Every one of those descriptions is taken from the company's own published page, read on 4 September 2026. The trades are distinct and each firm is clear about which one it is in. The word is what carries five meanings, so the buyer has to supply the definition the search term does not.

Where two quotations stop being comparable

A furniture quotation is priced per room type against a schedule. A soft-goods quotation is priced per unit against par levels, which assume the linen is in the wash while the room is occupied, so the quantity is a multiple of the key count rather than the key count. A technology quotation is priced per door and per network point. Three numbers, three units, and no arithmetic that turns one into another.

The most expensive version of this is the quotation that looks cheapest because a package is missing from it. Furniture priced without the fixed joinery, or a fit-out price with the loose furniture excluded, will always undercut a quotation that carries both. The fix is to name the five packages in the enquiry itself and ask each supplier to write in, against every package, whether it is included, excluded, or by others.

Five questions that settle which purchase you are making

Which of the five packages is in this enquiry, and who is buying the other four. Is there a drawing set, or a room list with quantities, or neither yet. Is a brand standard in force, and does it carry a must-use list. Which fire standard is named in the specification. And who takes responsibility on site once the goods arrive, because that answer decides whether you are buying products or a finished room.

Five answers cost nothing at enquiry stage and they change what comes back. Given late, they arrive as a variation order.

The fire standard follows the upholstery, not the order

Fire performance in contract furniture is tested on the composite: this foam, this interliner, this fabric, in this construction. It attaches to the upholstered items in the FF&E package and to the soft goods, and it is decided at material approval rather than at the port. Into Saudi Arabia, upholstered pieces are certified to SASO 2663/2019 and the consignment clears through SABER on a product certificate plus a shipment certificate.

The other packages clear on their own documents, which is worth putting to each supplier as a direct question: name the certificate that covers your goods into my country, and say who raises it. A locks-and-controls supplier and an upholstery factory are answering about different objects.

The model room is where the definition gets tested

One room is built and approved before the rest are made. Finishes, fabrics and hardware are approved physically rather than from a screen, and after sign-off the approved room is the benchmark the whole order is measured against. It is also the moment the five packages meet: the panelling behind the bed, the headboard, the mattress, the reading light and the lock on the door all arrive in the same room, from suppliers who may never have spoken to each other.

We build the room before we open the line, and there are eight model rooms in the 350 m² showroom in Gemlik where that conversation usually starts. Buyers who cannot travel walk the rooms with a colleague on a video call, in Arabic.

Where a Türkiye factory sits on this map

We hold the first two packages and reach into the third. Furniture and joinery are manufactured on our own 5,000 m² floor in Gemlik: machining, veneer, finishing and upholstery in one building. Soft furnishings, lighting, flooring, wet areas and the services inside the room are carried on the same contract and executed by trades we manage, so the whole interior travels on one purchase order and one party is responsible for the finished room. The boundary is the shell: structure and civil works sit with the building contract. Operating supplies are a separate business with a separate buyer, bought by the operator and replaced continuously, and they are bought best from a supplies house. Installation is managed by us on site, to our own shop drawings. What does equipping a hotel actually include?

Most projects buy from at least three different companies.
Why do quotations for the same hotel differ so much?
Usually because they cover different packages, and sometimes because they are priced in different units. Furniture is priced per room type against a schedule; soft goods are priced per unit against par levels, so the quantity is a multiple of the key count; technology is priced per door and per network point. Naming the five packages in the enquiry and asking each supplier to mark every one as included, excluded or by others makes the numbers comparable.
Can one company supply all of it?
The first two packages and much of the third travel together comfortably, and that is how we contract: furniture and joinery manufactured by us, soft furnishings, lighting, flooring, wet areas and in-room services carried on the same contract through trades we manage. Room technology usually comes from a systems house, particularly where a brand standard carries a must-use list for locks and network equipment. Operating supplies are the operator's continuing purchase and belong with a supplies house.
What is the difference between FF&E and operating supplies?
FF&E is capital: bought once, specified by the designer, fixed to a schedule. Operating supplies are consumable: linen, crockery, housekeeping equipment, bought by the operator against par levels and replaced continuously. They have different buyers, different documents and different re-order cycles, which is why they sit in different companies.
What does a factory need from me before it can quote?
A room-type schedule with quantities, drawings or dimensions, the materials and fabrics named rather than described, the fire standard, the destination and Incoterm, and the opening date so the programme can be worked backwards from it. Early concepts are fine to send; the schedule is what turns a range into a number.
Which fire standard applies?
The one your specification names, and it attaches to the composite rather than to the company: this foam, this interliner, this fabric. Into Saudi Arabia upholstered pieces are certified to SASO 2663/2019 and clear through SABER on a product certificate plus a shipment certificate. Name the standard while the fabric schedule is still open and the build-up is engineered to meet it.
Do you equip serviced apartments as well as hotels?
Yes. Citadines by Ascott Istanbul is among the delivered programmes, and an apartment package is the same five-way split with a kitchen added to the joinery scope.
